Data Tools on Ribbo enable custom responses to customer queries directly on the chat platform. Initially, Ribbo’s core product was focused on providing customers information based on the company’s website which was crawled. Users would not be able to get person-specific information, only answers on products and services offered.

With the integration of data tools on Ribbo, a customer can now access information that is specific to them during a live chat. This could be account balances, order status, profile information and any other customer-specific details.

The data tools feature works this way:

  1. A user is prompted to identify themselves using a phone number, email or identification number. 
  2. The system searches uploaded CSV data for the specified identifier, then pulls all matching records across whatever categories the business has set up — loans, deliveries, insurance policies, etc.
  3. In the event that no matching records are found, the chatbot has in-built guardrails that prevent it from hallucinating records, instead informing the customer that they should contact customer support for verification.

Onboarding is relatively easy, and consists of:

  1. Uploading a CSV file with customer data on the agent configuration settings within ribbo.ai
  2. Giving the tool a name and short description for recall
  3. Deploying the changes and testing against verified records

The data tools were made with privacy as a top priority:

  • Isolation is enforced at the application level — each chatbot agent has its own data tools; agents in the same organization cannot access each other's data and tenant isolation ensures each organization’s agents and chats are siloed
  • PIIs are only used for lookup on CSV files, the chatbot is explicitly locked out of sending customer details outside the agent workflow
